What You’ll Do
Lead a top-notch team responsible for coordinating all travel services—flights, hotels, visas, and more.Design and implement game-changing travel and expense strategies that keep things running smoothly.Guarantee round-the-clock coverage to ensure business travelers are always supported.Partner with senior leaders to drive the Global Travel Services strategy at a regional level.Monitor travel budgets, dive into expense data, and find creative ways to cut costs while maintaining excellence.Take ownership of booking travel for employees—whether it’s a quick domestic trip or a global journey.Ensure every trip complies with company policies and international regulations, keeping everything on point.Negotiate killer deals with travel providers, from airlines to hotels, to get the best bang for your buck.Build and nurture strong relationships with travel vendors to guarantee top-quality service every time.Create and enforce smart, efficient travel policies that everyone loves following.Stay ahead of industry trends to keep the travel process smooth, modern, and cost-effective.Regularly report travel metrics to senior management, using data to fuel innovation and process improvements.Leverage the latest tech to enhance travel and expense management.Work hand-in-hand with finance, HR, and other teams to simplify processes and make travel easy for everyone.Keep communication flowing—ensure employees are supported and senior stakeholders are always in the loop.Lead by example, pushing for continuous improvement in how travel and expenses are managed.Be the go-to expert for anything travel-related, bringing fresh ideas and energy to the table.RequirementsWhat We’re Looking For
A strategic and confident leader, who’s as organized as they are innovative.A master of multitasking—able to manage time, prioritize effectively, and deliver results under pressure.Strong negotiator with experience managing travel vendors and finding ways to cut costs.Data-driven, able to spot trends and make smart decisions fast.Tech-savvy, with a knack for optimizing processes and introducing new tools.Passionate about creating a seamless travel experience and a pro at building relationships with both internal teams and external suppliers.Your Experience & Skills
7+ years in global travel and expense management, ideally with experience in fast-paced environments.Bachelor’s degree in Business Administration, Travel Management, or a related field (bonus points for a Master’s or certifications!).Proven experience leading teams, implementing cost-saving strategies, and driving innovation.Strong analytical skills, financial acumen, and project management expertise.Proficiency with travel management software and tools.FinTech industry knowledge is a big plus!BenefitsWhat’s in it for You?

Key Responsibilities
1. Calendar Ownership & Time Optimization
Take full ownership of the executive’s calendar — manage meetings, block work time, and maintain weekly rhythms.Review requests and determine what gets scheduled, rescheduled, or declined.Prioritize high-leverage use of the executive’s time (not just “what fits”).Ensure calendar invites are clean, clear, and include prep docs or agendas where necessary.2. Travel Planning & Itinerary Management
Book travel (flights, hotels, airport pickups, etc.) and ensure all travel documents and confirmations are in place.Create detailed, well-structured travel itineraries that include time zone planning, buffers, and event requirements.Handle last-minute changes swiftly and calmly, providing alternative options without disrupting flow.Coordinate with local contacts or event hosts to ensure smooth transitions on the ground.3. Communication & Correspondence
Draft and send follow-ups, nudges, confirmations, and quick comms on behalf of the executive.Coordinate logistics with stakeholders and ensure everyone’s in the loop.Manage WhatsApp Web and inbox support where needed — ensuring the executive is only seeing what matters most.4. Meeting Coordination & Documentation
Schedule meetings with clear SOPs: set agenda, confirm attendees, prep the exec if necessary.Organize Zoom/Google Meet links, location details, and materials ahead of each meeting.Take notes or ensure someone is documenting outcomes and action points.Organize meeting summaries in a central system (e.g., Notion or Google Drive).5. Executive Workflow Management
Track pending tasks and important follow-ups, ensuring nothing slips through the cracks.Maintain a dashboard or weekly report on key priorities, status updates, and what needs attention.Proactively surface reminders, deadlines, and prep needs to the executive.6. System & SOP Development
Build repeatable templates for things like call invites, meeting notes, travel itineraries, etc.Set up and improve processes in Notion, Google Workspace, or other productivity tools.Document workflows that others can use or scale as the team growsRequirements2–4 years of experience as an Executive Assistant or in an operations role.Proven experience managing executive calendars and complex travel itineraries.Highly organized, great at building and maintaining structure.Strong written communication skills and high attention to detail.Familiar with Notion, Google Calendar, WhatsApp Web, Google Docs/Sheets, Zoom, Calendly.Be The First To Know
