Job Description
Our client is an established paving and concrete contractor looking to expand its estimating and project management capabilities. As part of this growth, they are seeking an experienced Estimator with administrative skills to assist with site plan takeoffs, project administration, and CRM management.

Fully Remote (Work from Home), 9 AM - 5 PM EST
Role Overview
The Estimator / Administrative Support role involves a blend of basic and advanced estimating tasks, including performing takeoffs on site plans for new construction projects and aerial imagery software for maintenance on existing parking lot projects, managing CRM workflows, and coordinating with the estimating team to assist in repetitive tasks.
Key Responsibilities
- Site Plan Takeoffs: Perform takeoffs from site plans, notating the different areas for asphalt, stone base, concrete flatwork, curb and gutter, striping, signage, and parking lot fixtures to compile quantities of each line item. This will require compiling and confirming material specifications.
- Aerial Imagery Takeoffs: Perform takeoffs on aerial imagery software per the on-site photos taken by the estimating team, compiling quantities for asphalt, stone base, concrete flatwork, curb and gutter, striping, signage, and parking lot fixtures.
- CRM Monitoring: Monitor general estimating emails to ensure all new clients have corresponding client profiles on the CRM with all relevant data (First/Last name, company name, company address, phone number, email, etc.).
- Estimates: Build out the framework of our proposals (client info, proposed line items, quantities from takeoffs, link to on-site photos, screenshot of aerial or site plan take-offs, etc.) so estimators can jump in and only have to check and verify inputs minimally and start pricing immediately.
- Supplier Coordination: Estimators will assign suppliers on a job-by-job basis that will require outreach and follow-up to ensure we have the material specification submittals as part of our proposal package.
- Administrative Support: Provide general administrative support to the estimating team, including organizing project documentation, filing, and assisting with any other project-related administrative tasks.
Qualifications
- Experience: Minimum of 2 years of experience in estimating, preferably in the sitework or paving industry.
- Software Skills: Proficiency in Microsoft Office Suite (Excel, Word, etc.). We will teach how to use our CRM and takeoff software.
- Organizational Skills: Strong organizational skills with the ability to manage multiple tasks and deadlines.
- Communication: Excellent verbal and written communication skills.
- Technical Skills: Ability to interpret site plans and perform basic to advanced takeoffs accurately.
What Success Looks Like
- Consistent and accurate takeoffs for both aerial and site plan projects with minimal revisions.
- Efficient management of CRM and ensuring no new requests for proposals are missing in the general estimates email, leading to smoother project coordination.
- Timely communication with suppliers and estimators to ensure deadlines for proposal turnarounds are met.
- Positive feedback from the project management and estimating teams on administrative support.
