Key Responsibilities
Tender Management
- Identify and track relevant opportunities on the NipeX platform, including prequalification and invitation to tender (ITT) notices.
- Lead the preparation, compilation, and submission of technical and commercial bids in accordance with NipeX and client requirements.
- Review tender documents, clarify bid instructions, and ensure compliance with all tender specifications and deadlines.
- Liaise with internal departments (engineering, finance, legal, operations) to gather required inputs and documentation for tender submissions.
- Maintain accurate records of all tender activities, submissions, clarifications, and outcomes.
Procurement & Compliance
- Manage supplier prequalification under the Joint Qualification System (JQS) and ensure company registration details are updated on NipeX.
- Ensure all bids and procurement processes comply with relevant regulations — including NNPC, NAPIMS, NCDMB, and NIPEX guidelines.
- Develop and implement procurement strategies that support organizational goals and ensure value-for-money sourcing.
- Coordinate with vendors, contractors, and regulatory agencies to support project delivery and compliance.
Reporting & Documentation
- Prepare tender status reports, bid evaluations, and post-tender analyses for management decision-making.
- Maintain up-to-date documentation of supplier prequalification, bidding history, and procurement records.
- Support audit exercises by ensuring full traceability and compliance documentation for each procurement process.
Stakeholder & Vendor Relations
- Build and maintain productive relationships with operators, vendors, and regulatory bodies within the oil and gas supply chain.
- Represent the company in tender clarification meetings, bid openings, and contract negotiations when required.
- Provide advisory support to management on procurement risks, tender trends, and compliance updates.
Business Development Support
- Collaborate with the business development team to identify and pursue new contract opportunities.

Requirements
Education
- Bachelor's degree in

Experience

Roles and Key Responsibilities:
- Manage fully compliant procurement systems and operating procedures and organize the procurement functions. Assess effectiveness and efficiency and lead improvements. Ensure compliance with CRS procurement principles, standards, and policies, donor regulations, and local statutory requirements.
- Lead collaboration efforts across various departments and countries to proactively assist with goods/services flow analysis and determine the appropriate supply chain modality, needs, and quantity, quality, and delivery requirements for goods, services, and cash and voucher assistance (CVA). Introduction
Danish Refugee Council (DRC) is a Danish international non-governmental organisation, which promotes and supports durable solutions to the problems faced by refugees and internally displaced people all over the world. DRC is present in more than 30 conflict territories around the world assisting displaced people with shelter, food, income-generating activities, and a wide range of other assistance. Background
Danish Refugee Council (DRC) has had an operational presence in Nigeria since 2015 and has experience working in 33 Local Government Areas (LGAs) across the BAY states. DRC provides life-saving assistance and protection to vulnerable, conflict-affected populations including IDPs, returnees, and host communities in the sectors of armed violence reduction, livelihoods, nutrition and food security, protection, shelter, and non-food items (NFI) and water, sanitation, and hygiene (WASH).
The operational context in northeastern Nigeria remains challenging, as the ongoing conflict impedes conflict-affected communities' access to what limited basic services are available, as well as DRC and other humanitarians' access to persons of concern.
Purpose
Provide support to DRC Programme by undertaking technical and practical operational tasks to ensure smooth, safe and efficient operation of logistical and warehouse activities in accordance with the Operations Handbook and Program Manual with adherence to donor guidelines and procedures. The Warehouse Assistant will manage Warehouse and further provide support to DRC Programme teams in ensuring timely release of NFI and Consumables commodities for distribution to beneficiaries in camps and host communities. The post holders will be based in Maiduguri to provide support to DRC field operations.
Duties and Responsibilities:
Under the supervision of the SC Team leader, the holder of this position shall perform the following duties:
- Manage and maintain DRC's warehouse facilities and emergency stockpiles to ensure rapid response capability for DRC operation.
- Supervise the receipt, inspection, storage, and dispatch of all incoming and outgoing goods, ensuring compliance with DRC's warehouse and stock management guidelines.
- Maintain accurate records for all inventory movements, ensuring all documentation (GRNs, waybills, release orders, etc.) is properly completed, filed, and updated.
- Conduct regular physical stock counts and reconcile with warehouse records to prevent discrepancies.
- Ensure proper stacking, labeling, and segregation of items based on type, project, and donor, maintaining clear visibility and accessibility.
- Prepare and share monthly stock reports with the Supply Chain Team Leader and relevant departments.
- Monitor storage conditions to ensure commodities are preserved in good condition and report any damages or losses immediately.
- Coordinate dispatches with the logistics and programme teams to ensure timely delivery of goods to field locations and distribution points.
- Ensure that all warehouse premises, equipment, and commodities are kept secure and maintained in accordance with DRC safety and security procedures.
- Ensure all warehouse transactions are carried out in full compliance with DRC policies, donor regulations, and audit requirements.
- Support internal and external audits by maintaining clear, accurate, and traceable documentation for all inventory movements.
- Ensure proper archiving of warehouse documents (both soft and hard copies).
- Monitor expiry dates, shelf life, and the condition of stored goods and report issues to the Supply Chain Team Leader.
- Support field teams with timely release and tracking of goods for distribution and project implementation.
- Supervise and guide casual workers or loaders involved in warehouse operations, ensuring adherence to safety and security procedures.
- Communicate proactively with colleagues regarding any operational constraints or potential delays.
- Ensure that all stock handling activities adhere to DRC's safety, quality, and accountability standards.
- Support Post Distribution Monitoring (PDM) or reconciliation exercises by providing accurate dispatch and receipt records.
- Promote a culture of transparency and accountability in warehouse operations.
- Immediately report any loss, theft, or damage of commodities to the Supply Chain Team Leader.
- Ensure compliance with warehouse hygiene, safety, and fire prevention measures.
The responsibilities listed above are not exhaustive and may be readjusted according to operational needs but will remain in line with the overall purpose of the role.
Experience and technical competencies:
Essential:
- Minimum of 2 years' experience experience in supply chain - Warehouse & inventory management.
- Experience(s) in Warehouse Management in a company, preferably INGO.
- Excellent computer skills in MS Word & Excel.
- Extensive experience in Asset Management (Procurement, Registration, Tracking and reparations/maintenance)
Desirable:
- Flexible & willing to work in a remote setting/field location.
- Understanding and experience of Warehouse security management.
- Experience of working in an (I)NGO
Education:
Bachelor's degree OR Equivalent in Logistics, Warehousing, administration, business, IT, Engineering or other relevant field
We offer.
Contract length: Two (2) Months, with a possibility of extension depending on funding availability.
Workplace: Maiduguri, Nigeria
Start date: Immediately.
Salary and conditions will be in accordance with the DRC National salary structure. This is contractually a national position for which local Nigerian terms and conditions apply.
