Title: Procurement Assistant

Basic Functions:

In conjunction with the Senior Procurement Officer, plan and implement systems and policies that guide all operations related to procuring supplies and services (in accordance with FHI360 policy, USAID policy and other donor policies) in support of all FHI360 offices and projects at state and field offices, both domestic and international sourcing.

Duties and Responsibilities:

  • Participate in the negotiation of contract terms on a range of procurements and monitor delivery of exact specifications.
  • Implement procurement policy and systems for FHI 360 procurement at state and field office level.
  • Undertake tendering, evaluation, placement, and monitoring of a portfolio of state and Field Offices procurement.
  • Support the planning and coordination of central procurement activities of FHI 360 with state and LGAs, including storage and delivery.
  • Assist in the training of staff at the LGA level in procurement rules and processes and record keeping.
  • Monitor procurement processes and compliance with FHI 360 procedures at state and field level.
  • Coordinate formal bids and request for proposal (RFPs).
  • Review and assist in the development of specifications, terms and schedules.
  • Prepare specifications, compare bids received and present recommendations on purchases to management
  • Prepare specifications required for various supplies and make them available to suppliers.
  • Adhere to all FHI 360 required procurement budgets, FHI 360 and donor purchasing guidelines, policies, and controls on procurement.
  • Solicit and negotiate competitive pricing from vendors and make recommendations for issuance of purchase orders.
  • Drive continuous improvement in all aspects of the procurement process
  • Maintain procurement files and other documentations.
  • Perform other duties as assigned.

Qualifications and requirements:

  • BS/BA Degree in Procurements or Logistics related field with at least 3 years of relevant experience.
  • Or MS/MA degree in Business Admin or related field with at least 1 year' relevant experience.
  • Advance knowledge of humanitarian Logistics procedures especially in Northeast Nigeria is an advantage.
  • Experience using ERP software is an advantage.
  • Demonstrated success in multicultural environments is an advantage.
  • Extensive experience in NE Nigeria humanitarian context highly desirable.

Danish Refugee Council (DRC) is a Danish international non-governmental organisation, which promotes and supports durable solutions to the problems faced by refugees and internally displaced people all over the world. DRC is present in more than 30 conflict territories around the world assisting displaced people with shelter, food, income-generating activities, and a wide range of other assistance. It is of utmost importance for DRC to work in compliance with the DRC Accountability and Quality Management system and national legislations. Smooth, reliable, and effective operational systems are preconditions for DRC to maintain its position as a trustworthy and reliable partner for our donors and an accountable organisation towards our beneficiaries.

Background

Danish Refugee Council (DRC) has had an operational presence in Nigeria since 2015 and has experience working in 33 Local Government Areas (LGAs) across the BAY states. DRC provides life-saving assistance and protection to vulnerable, conflict-affected populations including IDPs, returnees, and host communities in the sectors of armed violence reduction, livelihoods, nutrition and food security, protection, shelter, and non-food items (NFI) and water, sanitation, and hygiene (WASH).

The operational context in northeastern Nigeria remains challenging, as the ongoing conflict impedes conflict-affected communities' access to what limited basic services are available, as well as DRC and other humanitarians' access to persons of concern.

Purpose

Provide support to DRC Programme by undertaking technical and practical operational tasks to ensure smooth, safe and efficient operation of logistical and warehouse activities in accordance with the Operations Handbook and Program Manual with adherence to donor guidelines and procedures. The Warehouse Assistant will manage Warehouse and further provide support to DRC Programme teams in ensuring timely release of NFI and Consumables commodities for distribution to beneficiaries in camps and host communities. The post holders will be based in Maiduguri to provide support to DRC field operations.

Duties and Responsibilities:

Under the supervision of the SC Team leader, the holder of this position shall perform the following duties:

  • Manage and maintain DRC's warehouse facilities and emergency stockpiles to ensure rapid response capability for DRC operation.
  • Supervise the receipt, inspection, storage, and dispatch of all incoming and outgoing goods, ensuring compliance with DRC's warehouse and stock management guidelines.
  • Maintain accurate records for all inventory movements, ensuring all documentation (GRNs, waybills, release orders, etc.) is properly completed, filed, and updated.
  • Conduct regular physical stock counts and reconcile with warehouse records to prevent discrepancies.
  • Ensure proper stacking, labeling, and segregation of items based on type, project, and donor, maintaining clear visibility and accessibility.
  • Prepare and share monthly stock reports with the Supply Chain Team Leader and relevant departments.
  • Monitor storage conditions to ensure commodities are preserved in good condition and report any damages or losses immediately.
  • Coordinate dispatches with the logistics and programme teams to ensure timely delivery of goods to field locations and distribution points.
  • Ensure that all warehouse premises, equipment, and commodities are kept secure and maintained in accordance with DRC safety and security procedures.
  • Ensure all warehouse transactions are carried out in full compliance with DRC policies, donor regulations, and audit requirements.
  • Support internal and external audits by maintaining clear, accurate, and traceable documentation for all inventory movements.
  • Ensure proper archiving of warehouse documents (both soft and hard copies).
  • Monitor expiry dates, shelf life, and the condition of stored goods and report issues to the Supply Chain Team Leader.
  • Support field teams with timely release and tracking of goods for distribution and project implementation.
  • Supervise and guide casual workers or loaders involved in warehouse operations, ensuring adherence to safety and security procedures.
  • Communicate proactively with colleagues regarding any operational constraints or potential delays.
  • Ensure that all stock handling activities adhere to DRC's safety, quality, and accountability standards.
  • Support Post Distribution Monitoring (PDM) or reconciliation exercises by providing accurate dispatch and receipt records.
  • Promote a culture of transparency and accountability in warehouse operations.
  • Immediately report any loss, theft, or damage of commodities to the Supply Chain Team Leader.
  • Ensure compliance with warehouse hygiene, safety, and fire prevention measures.

Experience and technical competencies:

Essential:

  • Minimum of 2 years' experience experience in supply chain - Warehouse & inventory management.
  • Experience(s) in Warehouse Management in a company, preferably INGO.
  • Excellent computer skills in MS Word & Excel.
  • Extensive experience in Asset Management (Procurement, Registration, Tracking and reparations/maintenance)

Desirable:

  • Flexible & willing to work in a remote setting/field location.
  • Understanding and experience of Warehouse security management.
  • Experience of working in an (I)NGO

Education:

Bachelor's degree OR Equivalent in Logistics, Warehousing, administration, business, IT, Engineering or other relevant field

Responsibilities:

  • Assist with pharmaceutical inventory management to ensure availability and prevent stockouts.

  • Support procurement by preparing purchase orders and tracking supplier deliveries.

  • Help coordinate logistics and distribution of medicines to facilities/customers.

  • Ensure compliance with regulatory standards and Good Distribution Practice (GDP).

  • Participate in demand forecasting, supply planning, and reporting.

  • Maintain accurate documentation of stock movements and transactions.

Requirements:

  • Bachelor's degree in Pharmacy (B.Pharm/Pharm.D).

  • Strong interest in supply chain and logistics.

  • Good analytical and problem-solving skills.

Position: Supply Chain Officer

Reports to: Supply Chain Manager

Location: Lagos Mainland

Employment Type: Full-time

Salary: ₦150,000-₦80,000 Gross Monthly

Role Summary

The Supply Chain Officer will support the procurement, warehouse, and distribution functions to ensure the efficient and compliant sourcing, storage, and movement of pharmaceutical products. The role requires a licensed pharmacist with knowledge of pharmaceutical supply chain processes and a commitment to regulatory compliance, Good Distribution Practice (GDP), and Good Storage Practice (GSP).

Core Responsibilities

Procurement Support

  • Assist in sourcing pharmaceutical products, consumables, and raw materials.

  • Liaise with approved vendors to follow up on purchase orders, deliveries, and documentation.

  • Support in maintaining vendor compliance with regulatory and quality standards.

  • Prepare purchase requisitions, invoices, and related procurement records.

Warehouse & Inventory Support

  • Assist in daily warehouse operations in compliance with GDP and GSP standards.

  • Maintain accurate stock records and update ERP/inventory systems.

  • Monitor stock levels to prevent expiries, shortages, and losses.

  • Support periodic stock reconciliation and audit exercises.

Supply Chain Operations

  • Provide support in demand forecasting and inventory planning.

  • Ensure proper handling, storage, and documentation of all pharmaceutical products.

  • Work closely with the Supply Chain Manager and other departments to ensure smooth supply and distribution flow.

  • Ensure all activities comply with NAFDAC, PCN, and WHO guidelines.

Compliance & Team Support

  • Follow SOPs across procurement and warehouse functions.

  • Ensure adherence to health, safety, and quality standards.

  • Provide operational support to procurement and warehouse staff as assigned.

Qualifications & Requirements

  • Bachelor's degree in Pharmacy (B.Pharm) – or any related course

  • Minimum 1 year experience in pharmaceutical supply chain, procurement, or warehousing.

  • Good knowledge of pharmaceutical handling, storage, and distribution requirements.

  • Proficiency in inventory management software, ERP systems, and MS Office.

  • Strong organizational, communication, and teamwork skills.
