The role involves providing assistance to the Customer Service Manager (CSM) in the efficient and seamless administration of the Distribution Centre (DC) and client services. The primary objectives include achieving customer satisfaction and meeting overall business goals.
Key Performance Areas
Operational and HR Management:
- Assist CSM in leading the warehousing process; inbound, outbound and information flow in line with GWP and agreed clients SOPs/SLAs.
- Provide support to the CSM in the leadership of the DC team and communicate MDS objectives and targets in Key Performance Areas (KPA) to the team.
- Assist in ensuring compliance with management decisions and strategies regarding DC operations.
- Assist in the supervision and performance management of all DC staff, such as CSO Inventory, CSO Order Processing, Warehouse operatives etc.
- Ensures adherence to Service Level Agreements (SLA).
- Assist in ensuring reports are accurately and promptly rendered to Regional Manager and clients on agreed timelines.
- Assist the CSM in the monitoring and evaluation of third-party service providers performance at the DC level.
- Provide support to the CSM for all audits (internal and client) and other regulatory enquiries as required.
- Assume the role of CSM whenever the current CSM is unavailable.
Customer Service:
- Ensures efficient service delivery to customers (prompt, accurate invoicing, and loading) and prompt resolution of complaints (within 24 hours).
- Immediate escalation of complaints beyond resolution after 24 hours to CSM.
Storage Management:
- Assist in ensuring safety, accuracy and proper handling of stocks and fraud free operations.
- Assist in ensuring adequate security of clients' stocks.
- Assist in supervising regular stock taking and reconciliation to ensure stock accuracy and fraud free operations.
- Assist in ensuring storage of products in the right areas, appropriate temperatures, and good conditions according to quality and regulatory standards as required.
Assets Management:
- Assist maintenance/management of DC assets such as generators, Hand Pallet Trucks (HPT), forklifts, Computers, pallets etc.
- Assist in ensuring assets are serviced as at when due.
Cash Management:
- Provide support to the CSM in supervising the collection and banking of cash, tellers and cheques handling on behalf of clients; where applicable.
- Assist in monitoring cash transfers/transmission to clients' bank accounts; where applicable.
- Assist to ensure proper reconciliation and documentation of bank statements is done; where applicable.
- Assist in enforcing controls and ensures judicious use of DC imp rest or 'float'.
HSE:
- Assist in promoting culture of safety and align with MDS HSEQ policy and guidelines.
- Assist in coordinating the Health, Safety and Environment (HSE) activities in the DC.
- Assist in supporting the adherence to operational and asset maintenance and usage guidelines to avoid incidences.
Qualifications Required:
- Bachelor's degree / HND in Natural / Social Sciences or any other disciplines.
Experience and Skills Required
- At least 5-7 years' total working experience. Out of which 3 years working experience in warehousing operations with multiple clients (at least 5 clients) cut across FMCG and pharmaceutical companies or similar warehousing / logistics operation.
- WMS experience.
- Inventory management.
- SAP or related software.
